About this policy
CleanBuddy is a workspace for cleaning companies to manage customers, projects, planning, work records and invoicing. NordSym AB (559535-5768) develops and operates the software. This policy explains the Google email integration and the information processed to provide it. Contact hello@cleanbuddy.ai for privacy questions or requests.
Information and purposes
When an administrator connects a Google account, CleanBuddy obtains its verified email address, Google account identifier and the permissions granted. It stores encrypted authorization credentials to send emails after the administrator explicitly tests and activates the connection. These credentials are kept on the server and are not exposed through the application interface. CleanBuddy also records connection status and sending outcomes to prevent duplicate sends and support troubleshooting.
Google access
The integration requests openid and email to verify the account, and gmail.send to send email. It does not request access to read your inbox, contacts, calendar or existing messages. Customer and partner messages can include recipients, subject, message content and attachments such as invoices. Google receives these to perform the send. The sender is the verified connected mailbox.
Use and sharing
Google account information is used to provide and secure the email connection. It is not sold, used for advertising, or used to train generalized AI models. CleanBuddy uses Convex for backend storage and execution and Vercel for its web application. Information is processed by the service providers needed to operate these functions. Email content is sent to Google and to the recipients selected through the company workspace. The workspace controls its customer records and recipient choices.
Retention and control
An administrator can disconnect the account under Integrations. Disconnect removes the stored Google credentials and connected account identity from the active connection and stops new sends through that connection. It does not recall messages already sent or delete the workspace records, invoices and sending receipts. Google app access can separately be revoked in your Google Account. Contact hello@cleanbuddy.ai to request access, correction or deletion of information held by CleanBuddy; records subject to legal retention or another party’s responsibilities may need to be retained. Disconnecting does not automatically revoke Google’s own authorization grant.
Limited use
CleanBuddy’s use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. The integration uses the narrow permissions described above. Your company administrator determines when customer messages are sent; automatic customer notifications can be controlled at company and project level.
